Lets imagine you are researching for a project. The information is endless. It snowballs into web page after web page, and video after video learning all I need to know to breathe the life into your project. Within a few days of research you think you are all ready for lift off with a bunch saved URLs and lists of ideas on a single document. It’s like have a box of nails and no hammer….wait?… what? Utilizing a tool like a Kanban board will organize your projects so they get done correctly and on time.
These days there are many ways to keep life organized. Here are my favorite apps you can use to keep your life organized:
I want to go into detail about these apps, but first let’s talk about what a Kanban Board is and how it can help you.
What is a Kanban Board?
If you never heard of a kanban board you are in for a treat. It is a way to visualize your plan and execute them. Most kanban boards are full of 100’s of tasks with many collaborators where each task can be narrowed down to just a few minutes. Kanban boards can be also as simple as keeping all your personal and business tasks laid out for only you to see each step to be completed. So when you add up all the small tasks you can confidently prove to yourself how long the project really is going to take. This is how valuable a tool like this can be.
If you want some more convincing on how the Kanban systems can help you achieve more and be better organized, here are some benefits of the systems. We will keep this short and sweet.
- It helps you focus better
- Less wasted time overall
- Increase your productivity
- If you are working with a team, the Kanban systems help your team stay focused
Now let’s talk about the different tools I love to use to make your business processes so much easier.
Best Apps to Organize your Business
The app is easy to use with its well laid out user interface, you can keep yourself and your day organized – helping you achieve more.
You can use the app for free, but there is also a paid plan. The paid option grants you some more features like power-ups and the butler.
It is called the butler tool because it lets you automate things like various processes and tasks. The butler is so versatile that you can automate any manual task.
Next, you have the power-ups. Think of power-ups in Trello as plugins that can increase the app’s functionality. On the free version, you only get one power-up, though. Once you jump into a paid plan there are tons of different power-ups you can use.
There are cloud storage power-ups, calendars, and also one for Slack as well. With so many business communications happening over Slack, this is quite useful.
You can add unlimited members in teams, add custom backgrounds, and do customizations to your boards.
Trello also has you covered in the security department. There is the mandatory 2-factor authentication, which lets you secure your accounts from unauthorized access.
The app has AES-256 encryption to keep all your data safe and sound. Plus, on top of that, you get SOC 2 Type 1 certification too.
It incorporates a calendar view to let each person know what is happening. This is a great way of staying on top of deadlines and keeping team members informed. The calendar view has filters too. You can use the filters to display specific things you need to know about the tasks and deadlines.
Speaking of keeping team members informed, Wrike lets you assign responsible team members to tasks.
With this feature, each member of your team knows exactly what their responsibilities are. The software also allows you to check which tasks are still unassigned. So you can assign team members to the tasks.
There is a report creating a tool that is quick and easy to use. You can create reports easily with just a few clicks, and helps you get an idea of how the project is going and all other sorts of things about the projects.
Personalization is a big focus for Wrike. You can make your board look just the way you want it. There are tons of high-quality themes to choose from. Each user can set their own theme. This is one small gripe we have with Wrike.
The organization features are also top-notch. You can create a different project and put tasks for each project. The tasks themselves can also have sub-tasks.
No good organization software is complete without useful integrations. Thankfully, Wrike has a lot of them. With the free Wrike plan you can integrate Dropbox or Google Drive or OneDrive. But on their Professional paid plan it take the integration to the next level and include MS project, Excel and RSS. The Professional plan also includes a Gantt Chart view to help with the visualization of your projects.
When you step up to the Business plan you can get features like custom fields, real time reports, analytics, time tracking and salesforce integration. You can also add up to 200 team members to your workspace.
As we mentioned, the app makes it super easy to use its features. Thanks to its easy to understand and modern user interface. We love how seamless and laid out.
Although not as simple to use as Trello, the myriad of features and the things it lets you do more than makes up for it. Completely new users might need to do a bit more digging to get the hang of the interface. But it is all worth it.
Onto security now. On security, Wrike has quite a lot to offer. There is 2-factor authentication. Also, the admin can choose what users can do and not do. This is especially great for projects that require working with classified or sensitive data.
Overall, Wrike is a pretty great organization tool, and it is also free!
If you want a paid premium organization tool, Monday is one of my favorite. It is fluid and intuitive with lots of features that are sure to up your organizational game. The app recently has made a lot of strides and is one of the best ones you can use.
Despite being a paid software, it’s still affordable nonetheless.
Monday uses a card-style user interface to display all the tasks. Quite similar to Trello. You can track the progress of projects using helpful charts. The chart view presents data in a pie chart format.
Then it tells you what percentage of the work is done, stuck, and is in progress. You can even create different chart types as well – there is a bar , line, column and area charts.
Just like any organization software that is worth the money, there are some helpful integrations here as well. You can integrate it seamlessly with other services like Zendesk, Slack, MailChimp, and more.
The automation tools let you set rules which tell the app to work just the way you want it to. The automation feature is great to help your team save time. You can set repetitive tasks to be automated so you can focus on more important things.
Automating tasks is a great way to mitigate human errors too. Monday’s user interface is one of the best so far. The interface is easy to understand and is not too cluttered. It does all this all without sacrificing functionality too.
There are customization options, limitless team members and storage as well. Given the host of features it offers, Monday.com is worth it. There are two tiers of plans: a standard one and a pro one. If your workflow is not too demanding, you can save some bucks with the standard tier plan.
Monday.com users do not have to worry about security either. It has practically all security concerns covered. It has all the basics like 2-factor authentication and encryption.
The data is encrypted both when in transit and rest as well, adding peace of mind and security for users. It is certified for SOC 2 Type 2. So, you can be sure your data is kept safe and sound.
Overall, Monday.com is a great app to help you organize your ideas and projects. It’s design is to manage your day better and get more done. With a competitive price and a rich feature set, it is one of the better organization apps you on the market right now.
